Overview

This Privacy Policy explains how AstroBot ("we", "our", "us") collects, uses, and protects information when you use the AstroBot Discord bot and its associated web dashboard.

Short version: AstroBot only collects data that is strictly necessary to provide its features — like Discord IDs and server settings. We do not sell your data, and we store the minimum required.

By using AstroBot, you agree to the collection and use of information as described in this policy.

Data We Collect

AstroBot collects the following types of data automatically when you interact with the bot:

Data We Do NOT Collect

  • Message content from regular conversations (only bot command interactions)
  • Private Direct Message content (except DMs you initiate with the bot)
  • Voice channel audio
  • Payment information (handled by third-party payment processors)
  • Email addresses or real names

How We Use Your Data

Data collected by AstroBot is used exclusively to:

  • Provide and improve AstroBot's features and commands.
  • Maintain XP, AstroCoins, levels, and rank leaderboards.
  • Enforce cooldowns (e.g. daily reward timers).
  • Store per-server configuration settings.
  • Detect and prevent economy fraud or system abuse.
  • Manage premium subscriptions and tier-specific features.
  • Display server moderation records to authorized staff.
We do not use your data for advertising, we do not sell it to third parties, and we do not use it for any purpose beyond operating AstroBot's features.

Data Storage & Security

All data collected by AstroBot is stored in a secured database. We implement industry-standard security measures to protect against unauthorized access, alteration, disclosure, or destruction of your data.

Data is stored on servers located in secure data centers. While we take all reasonable precautions, no internet-based service can guarantee 100% security.

Data Sharing

We do not sell, trade, or rent your personal data to third parties. We may share limited data in the following circumstances:

  • Legal compliance: If required by law or a valid legal process.
  • Safety: To protect the safety of our users or the public.
  • Service providers: With trusted infrastructure partners who assist in operating our services, under strict confidentiality agreements.

Server administrators can view moderation data (warns, tickets) for members of their own server. This is a core part of the moderation feature.

Data Retention

We retain data for as long as it is needed to provide AstroBot's services:

  • Economy data (AstroCoins): Retained indefinitely while your account is active.
  • XP & Level data: Retained per server, deleted if the bot is removed from the server.
  • Server settings: Retained until the bot is removed or settings are reset.
  • Warning records: Retained until manually cleared by a server administrator.
  • Pending transfers: Automatically deleted after 10 seconds (expired captcha).

Your Rights

Depending on your jurisdiction, you may have the following rights regarding your data:

  • Access: Request a copy of the data we hold about you.
  • Correction: Request correction of inaccurate data.
  • Deletion: Request deletion of your data from our systems.
  • Portability: Request your data in a portable format.

To exercise any of these rights, please contact us through our Discord support server. We will respond within 30 days.

Note: Some data may need to be retained for legal or operational reasons even after a deletion request. We will inform you if this applies.

Cookies & Dashboard

The AstroBot web dashboard uses minimal cookies necessary for authentication and session management. We do not use tracking cookies or third-party advertising cookies.

  • Session cookies: To keep you logged in during your dashboard visit.
  • Preference cookies: To remember your display settings.

You can disable cookies in your browser settings, but this may affect dashboard functionality.

Children's Privacy

AstroBot is not directed at children under the age of 13. We do not knowingly collect personal data from children under 13. If you believe a child under 13 has provided us with their data, please contact us immediately and we will take steps to delete it.

Users between 13–18 should have parental consent in accordance with applicable law and Discord's Terms of Service.
